In this guide, we will look at how to import leads into Saleswhale via a csv file. 

Before we can enroll leads into campaigns for launch, you will first need to import your leads via a csv file into Saleswhale. (If you are importing leads and launching your campaign via our Salesforce integration, read here instead.)

To begin the import process, you can either:

  • Go to the Leads tab, and click "Import Leads"
  • Or hover your cursor over Leads, and select Import History from the drop-down menu. Click "Start Import".

This will bring you to the step-by-step wizard to import your leads.

Step 1: Upload

Click on “Choose a File to Upload” or drag-and-drop your csv file into the box to begin the import.
(Click "Download a sample CSV" to take a look at what your csv file should look like. Note that the sample csv only includes the most commonly used merge tags, and may not include all the merge tags used in your campaign.)

Step 2: Map CSV Columns

Map the column headers from your csv to the corresponding Saleswhale fields.

You can choose not to map columns from your csv file to a Saleswhale field by selecting "Don't Map" from the drop-down menu. Any unmapped columns from your csv file will not be imported into Saleswhale.

Step 3: Review and Validate

A summary page of your imported data will show the number of leads in your csv that are:

  • without errors and warnings;
  • with warnings
  • with errors

By default, leads with warnings will not be imported. However, you have the option to import leads despite the warnings by selecting the checkbox corresponding to each warning. (You will only import leads belonging to that specific warning category.) Hover your cursor over each warning category for a pop-up containing more information on that warning. 

Leads with errors cannot be imported. Together with unimported leads with warnings, leads with errors will be stored as Unimported Leads following your import. Read more about suggested actions to take with unimported leads.

Step 4: Confirm and Import

You can name your import batch for easy identification, and choose how you want to update leads from your CSV file that are already in Saleswhale. Read more about re-importing leads.

Click on "Finish Import", and your import batch will begin processing. Once ready, your import batch will show the import details (number of imported/unimported) in Import History.
