With the HubSpot integration with Salewhale through Zapier, you can easily streamline your team’s workflows and keep your Hubspot leads and contacts synced with Saleswhale. You can:

  • Automatically send leads/contacts from HubSpot to Saleswhale

  • Update qualified lead status and campaign from Saleswhale to Hubspot

Note: When you send a contact from Hubspot to Saleswhale, they’ll be created as a ‘lead’ in Saleswhale.

Here’s how to get started:

First, install the Zapier app

To install the Zapier app, sign up for a free account with Zapier here: https://zapier.com/

Second, enable Saleswhale integration with Zapier

Steps:

1. You can start to enable Saleswhale integration with Zapier by clicking on this invitation link.

2. Create the first Zap between Saleswhale and an app you are using for your marketing and sales team by clicking "Make a Zap"

3. Select the latest version of the Saleswhale app to start the authorization.

4. Copy and paste your Saleswhale account API to Zapier to activate the connection. To find the Saleswhale's API token, go to your Account Settings page and scroll down to the bottom of the page.

Automatically create leads in Saleswhale from HubSpot contact

It’s easy to automatically create leads in Saleswhale for all of your Hubspot contacts.

Here is how the flow setup looks like in Zapier

Steps to set this up for Hubspot & Saleswhale:

  1. Select Hubspot in “When this happens..”. You can then select “New Contact” as a Trigger for example.

2. Select Saleswhale in “Do this…” as an Action. You can then select “Create new Lead” as the first Action.

3. In the Customise Lead step, select “First Name” and “Email” from your Hubspot form. Saleswhale requires at least “First name” & “Email” data to create a new lead.

4. You can send other fields from Hubspot to Saleswhale for your lead for example account name, job title, or lead owner email.

Now, every contact with an email address and first name will be created as a lead in Saleswhale

Note: Only contacts created after you’ve installed the Zapier - Saleswhale app will be automatically created in Saleswhale. If you’d like to sync leads from before the app installation, export them from Hubspot and import them to Saleswhale over CSV

Create and enroll leads from Hubspot to Saleswhale

You can automatically enroll a lead from Hubspot to a running Saleswhale campaign so your AI can email them.

This workflow is helpful if you are collecting inbound leads from a Hubspot form and want the AI to reach out to them right away.

Here is how the flow setup looks like in Zapier

Steps to set this up for Hubspot & Saleswhale:

  1. Select Saleswhale in “When this happens..”. You can then select “New Form Submission” as a Trigger for example.

  2. Select Saleswhale in “Do this…” as an Action. You can then select “Create new Lead” as the first Action.

  3. In the Customise Lead step, select “First Name”, “Last Name”, “Email” from your Hubspot form. Saleswhale requires at least “First name” & “Email” data to create a new lead.

  4. Add 1 more step in Saleswhale to enroll the new lead created in step 3 to a Saleswhale’s campaign. This time, select “Create Enrollment” as the Action.

  5. Under the Campaign ID field, you can search and select the Saleswhale campaign you want to enroll your lead to.

  6. Under the Lead ID field, select the “ID” created in the previous Zapier step. Saleswhale will automatically create and enroll this lead from Hubspot to selected campaigns

Automatically send conversation status to HubSpot

After a HubSpot contact is created, your lead conversation status, conversation link, and campaign can be sent as activities in HubSpot.

We send Saleswhale conversations to HubSpot when they are started or closed.

Important:

  • Only conversations that were started after you connected the HubSpot app to Saleswhale over Zapier will be sent to HubSpot.

  • Conversations from before you connected the HubSpot app will not be sent to HubSpot unless a customer replies after the app was connected

Steps to set this up for Hubspot & Saleswhale:

  1. Select Saleswhale in “When this happens..”. You can then select “Conversation Ended” as a Trigger for example.

  2. Select the Conversation status filter and campaign if you want to trigger the action by a specific conversation status and campaign. If you want to trigger the action by any campaign, leave the campaign field selection blank.

3.. Select Hubspot in “Do this…” as an Action. You can then select “Add Contact to List” as the first Action.

4. If you want to create a new deal when a lead is qualified, select Create Deal as the Action

5.. Select Saleswhale fields that you want to send to Hubspot fields. Here are the fields supported by Saleswhale for the “Conversation Ended” trigger.
