When your AI Assistant converses with your leads via 2-way conversation, a trail of data exhaust is left in the email threads -- important information such as contact data, referrals, rejection reasons etc, are peppered all over the emails.

Relevant, unstructured data from these emails are automatically collected to ensure that your marketing database is always kept relevant. Through this,

  • Existing leads and their information are updated and enriched

  • New leads and their information are captured and created in your AI Assistant's database

  • Leads which are marked as Do Not Contact or have bounced emails are invalidated

  • Data and business insights are collected and surfaced

Update existing leads' details

For leads that already exist in your AI Assistant's database, the following data points are collected and updated. If there is existing data, they will be overwritten with the latest information from the email conversation with the lead:

  • First name

  • Last name

  • Contact number

  • Job title

  • Account (Company name)

Capture new leads

When a lead that is not in your AI Assistant's database appears in an email conversation, their information is captured and this new lead is created in your AI Assistant's database. This most commonly happens when the original lead refers a new person into the email conversation. For all new leads, the following data points are collected (if available):

  • First name

  • Last name

  • Email

  • Contact number

  • Job title

  • Account (Company name)

Alternatively, you can access them by going to the Leads tab. Filtering by 'Import Source: Referral' will show the list of new leads collected. You will also be able to export them in a csv file.

Invalidating leads

Do Not Contact (DNC)

For leads who respond to your AI Assistant asking to be removed from the mailing list or to not be contacted any more, they are marked as 'Do Not Contact' in your AI Assistant's database and will be automatically excluded from all future email outreach from your AI Assistant.

If you have your Salesforce integrated with Saleswhale, leads who are marked as DNC can be synced back to your Salesforce and vice versa.

Bounce

When a lead's inbox responds with a hard bounce, the lead is marked as 'Bounced' and automatically excluded from all future email outreach.

To locate leads who have bounced, you can go to the Leads tab. Filtering by 'Status: Bounced' will show the list of bounced leads. You will also be able to export them in a csv file.

Collect business insights

For leads who indicate that they are 'Not Interested', the rejection reason is collected as well. A snippet of the lead's reply is captured and categorized into one of the following:

  • Not Interested

  • No Need Right Now

  • No Time

  • Left Company

  • Not Relevant

  • Not The Right Person

  • Already A Customer

  • Left Country/Migrated

  • Using Other Solution

  • Already In Touch

  • Too Expensive

  • Others

Exporting the updated leads

If you would like to update these data in your system of record, you can export them by navigating to the Leads tab and exporting the leads.
