Filtering Leads

You can filter your Leads from the Leads or Campaigns tab to look for a list of Leads that fit a specific set of criteria. 

In this guide we will look at:

  • How to locate the Lead Filter, and
  • Attributes you can filter your Leads based on.

Once you set up a filter, you can add the list of leads based on the filter to a campaign or bookmark the filter for later use. More about saving and editing Leads bookmarks.

 

Locating the Lead Filter

You can filter leads or conversations using the Lead Filter via the Campaigns or Leads tabs.

Campaigns tab

From the Campaigns tab, select a Campaign to show a specific Campaign page and the associated leads.

Make sure the "Leads" tab is selected, then use the "Filters" slider at the right of the filtering panel to toggle the filter editor. Understanding Leads vs Conversations Bookmarks and Filters.

Filtering based on lead attributes 

Lead attributes you can filter Leads by include:

  • Search on Name or Email
  • Import Source
  • Follow Up At
  • Owner
  • Imported At
  • Last Interacted At
  • Do Not Contact
  • Attribute
  • Without Conversation

 

Search

Search for a specific name or email. The results will show names or email addresses containing any of the searched words.

 

Import Source

Filter leads based on the import source. Options include:

  • API
  • Spontaneous (more about Spontaneous emails)
  • Manuel (i.e. individually and manually submitted into the Saleswhale app)
  • CSV (i.e. bulk import)
  • Salesforce

Multiple sources can be selected.

 

Follow Up At

The Follow Up At field allows for filtering leads based on whether the lead indicated they wanted a follow up from your bot at a specified later date.

There are several options for filtering based on when leads indicated they wanted to receive follow up:

  • Less than - define absolute number x in the field to show all the leads that hoped to receive a follow up less than x days ago
  • More than - define an absolute number y in the field to show all the leads that hoped to receive a follow up more than y days ago
  • Between - define two dates using the date picker to show all leads that hoped to receive a follow up between two defined dates

 

Owner

By filtering on lead owner, you can select leads that belong to specific sales reps.

Lead owners are defined by the sales rep listed during lead import.

Leaving this field blank will show all leads regardless of lead owner, and selecting reps will show only leads that belong to the designated sales rep(s).

Multiple owners can be selected.

 

Imported At

The Imported At field allows for filtering leads based on the time they were imported into Saleswhale.

There are several options for filtering based on when the lead was imported:

  • Less than - define absolute number x in the field to show all the leads that were imported less than x days ago
  • More than - define an absolute number y in the field to show all the leads that were imported more than y days ago
  • Between - define two dates using the date picker to show all leads that were imported between two defined dates

 

Last Interacted At

The Last Interacted At field allows for filtering leads based on the time your bot last interacted with your leads (e.g. the date of the last email to or from your bot).

There are several options for filtering based on when this last interaction date:

  • Less than - define absolute number x in the field to show all the leads where the last interaction was less than x days ago
  • More than - define an absolute number y in the field to show all the leads where the last interaction was more than y days ago
  • Between - define two dates using the date picker to show all the leads where the last interaction was between two defined dates

 

Do Not Contact

By default, filtering based on leads with or without a "Do not contact" status is turned off. Turning on this field gives you the option to filter based on:

  • Yes - leads who are marked as "Do not contact"
  • No - leads who are not marked as "Do not contact"

Attributes

You can filter on all custom field columns using the Attribute selector. More about custom field columns.

Multiple attributes can be selected and defined.

 

Without Conversation

By default, filtering based on leads without conversations is turned off. Turning on this field will give you leads who have no previous campaign enrollment.

 

Filtering based on conversation attributes 

Conversation attributes you can filter Leads by include:

  • Campaign
  • Type
  • Status
  • Handover Rep
  • Rep Followed Up
  • Started At

 

Campaign

By default, filtering by campaign is turned off. You can enable this filter based on specific campaigns.

To turn on the filter, check "Enable" to turn the letters blue. Once the letters are in blue, you are filtering on campaigns. 

You have several options when filtering on campaigns is turned on:

  • Without Campaigns - Shows only Leads with Conversations that are spontaneous. More about spontaneous emails.
  • With Campaigns - Shows only Leads with Conversations that are associated with at least one campaign; excludes any ad-hoc Conversations.
  • Specific Campaign - Shows only Leads with Conversations that are a part of specific campaign(s), as defined in the "Select Campaigns" field.
    You can also choose to include only your bot's latest conversation with a specific lead by selecting "Only Latest."
    Multiple campaigns can be selected.

 

Type

Filter Leads based on whether they had normal conversations (e.g. conversations initiated by the bot) or ad-hoc conversations (e.g. conversations initiated by a lead; learn more about spontaneous emails). 

Multiple types can be selected.

 

Status

Filter Leads based on the status of their Conversation. 

Multiple statuses can be selected.

Statuses include:

  • Qualified
  • Not Interested
  • Pending bot response
  • Pending lead response
  • Bounced
  • Cancelled
  • Unresponsive

 

Handover Rep

Choosing specific reps will display Leads based on who the bot handed the Conversation over to. Leaving this field blank will show all leads, and selecting reps will show only Leads that were handed off to the defined reps.

Multiple reps can be selected.

 

Rep Followed Up

By default, filtering based on whether any rep followed up with a Conversation is turned off. Turning on this field gives you the option to filter based on:

  • Yes - a rep did follow up on the Conversation
  • No - a rep did not follow up on the Conversation

Started At

The Started At field allows for filtering Leads based on the time their Conversation started (e.g. the date of the first email).

There are several options for filtering based on when the Conversation started:

  • Less than - define absolute number x in the field to show all the conversations that were started less than x days ago
  • More than - define an absolute number y in the field to show all the conversations that were started more than y days ago
  • Between - define two dates using the date picker to show all conversations that were started between two defined dates
