Saleswhales bot will hand over 2 types of qualified leads to Sales Reps emails added to Saleswhale's account.
- Goal converted leads

Goal converted leads
Each Saleswhale Conversation Topic is designed with a goal in mind. In most cases, the goal is to qualify a lead's interest in jumping on a call. Other goals include finding the right point of contact within an organization or setting up an in person meeting.
Once your bot detects that it has achieved the goal of the Conversation, it will mark the conversation as "Qualified" in the Saleswhale app and loop the sales rep into the conversation via an email cc.
What this email looks like depends on the messaging and content of your bot's "Qualified Positive Intent (Goal Conversion)" sequence in the Topic.
We recommend a sales rep to cc or bcc our bot email in the subsequent conversation after a lead is handed over. Our bot will help to track of the follow-up conversation.
Human review leads
Depends on the email content, sometimes our bot will not be able to decide how to move forward with the conversation. In those cases, Saleswhale will create a task called Human Review and assign the task to a person from your team so they can help to continue the conversation.
As best practice, you should clean up the email before replying and update the bot on what happened with the lead subsequently.
Steps for cleaning up the email:
- Remove the Saleswhale FWD prefix in the subject line
- Remove the Forwarded Message header in the body
Steps for updating your bot (does not require logging into the app):
- Keep an eye out for an email with the subject "[Saleswhale Human Review] Pending human review task"
- Open the email and update the status of the lead in the Saleswhale application by choosing one of the buttons within the email that best corresponds with what the status of the conversation
When a Sales Rep is out of office (OOO)
When a sales rep is out of office, you can update their OOO time in Settings -> Customise Assistants.
During the OOO time of the sales rep, our bot will only hand over the leads to the available sales reps using round robin logic.
However, if the sales rep is the lead owner, our bot will still assign the qualified leads to them even during their OOO time.
