Lead owners

You can assign a lead owner to each lead, for your Saleswhale bot to know who to hand the lead over to. In this guide, we will look at:

  • Assigning lead owner via csv import
  • Inheriting lead owner from Salesforce
  • Updating lead owner of leads already in Saleswhale

Prerequisite:

In lieu of any specified lead owner, leads will be handed off in a round robin fashion using the list of reps listed in Lead Handoff Rep.

If you want to check for leads belonging to a particular sales rep, you can filter leads based on lead owner via the Lead Attribute "Owner."

 

Assigning lead owner via csv import

In your csv file, creating a column in your csv spreadsheet called "lead_owner" and include the email address of the lead owner for each of the leads.

Below is an example of a spreadsheet with some lead_owner defined. If a specific lead does not have a lead owner, you can leave the cell empty.

Inheriting lead owner from Salesforce

By default, with the Salesforce integration, your lead will also inherit the same lead owner from Salesforce when the lead is imported into Saleswhale.

The same prerequisite exists where all lead owners must be listed in the Saleswhale app under Lead Handoff Reps, in order to ensure a successful handoff to the right sales rep.

If the Lead Owner in Salesforce does not exist as a Lead Handoff Rep in Saleswhale, the lead will be handed off via round robin once qualified by your Saleswhale bot.

 

Updating lead owner of leads already in Saleswhale

There are several ways to update the lead owner for your leads:

  • Individual update for each lead
  • Bulk update for selected leads
  • Delete sales rep and transfer all ownership to another rep

Individual update for each lead 

To update the lead owner for each lead, navigate to the Leads tab or your Campaign in your Saleswhale app and click on the icon on the right of the lead. Select 'Update Owner'.

It will open up a modal popup where you can select who you want to change the lead owner to.

Bulk update for selected leads

To do a bulk update, navigate to the Leads tab or your Campaign in your Saleswhale app and select the checkboxes for all the leads you would like to update.

Then under 'More Actions', select 'Update Lead Owner'.

It will open up a modal popup where you can select who you want to change the lead owner to.

Delete sales rep and transfer all ownership to another rep 

This applies to the situation where you would like to delete an existing sales rep who is also the lead owner of multiple leads, then transfer all the leads under his ownership to another rep.

Navigate to 'Customise Assistant' and under 'Qualified Leads Handoff', click on the minus icon on the right of the sales rep you would like to delete.
